Microsoft 365 review services
The purpose of our Microsoft 365 current state review is to establish a baseline ‘as is’ record of your Microsoft 365 environment in a 125+ page template we provide. The template will record almost all configuration settings, including those that can affect the management of records, in the following Microsoft 365 admin centres.
- Microsoft Entra (formerly Azure AD)
- Microsoft 365 admin
- Exchange Online
- SharePoint Online (includes OneDrive)
- Microsoft Teams
- Microsoft Purview (Compliance)
The review documentation also includes details the following information:
- User numbers and licence types.
- Group types and numbers (e.g., Security Groups, Microsoft 365 Groups, Distribution Lists, Mail-enabled Security Groups) as well as Shared Mailboxes.
- Roles, including those eligible for assignment via Privileged Identity Management.
- A summary of end-user activity and storage volumes in the key Microsoft 365 workloads.
- A summary of the number, type and size of SharePoint sites, how many of these are linked with Teams, including with private and shared channels. (This requires either access to the SharePoint admin role or an exported listing of all active sites).
- Details of any custom ‘global’ content types and custom metadata, including terms created in the Term Store.
- Whether any retention policies, retention labels, and/or sensitivity labels have been created and deployed (and if so, any potential implications for recordkeeping) in Purview.
Our template also includes a range of standard questions about how you manage the environment. For example, what do you do with the mailboxes and OneDrives of departed users, what is your approach to information architecture, naming conventions and so on.
Deliverables
The following are the deliverables for this service:
- A ~125-page document detailing the configuration settings across the different Microsoft 365 admin portals with brief suggestions and recommendations for
improvement, and additional comments as appropriate.
- A separate and shorter summary document (~10 to 20 pages depending on the details identified in the previous document) with key points, suggestions or
recommendations arising from the review. Two iterations of this document may be provided, based on feedback received.
- One, one-hour meeting to discuss or present the document and our findings.
Please note the following points in relation to this service:
- This work can take up to 20 hours spread over 10 working days.
- Our ability to complete this work will depend on capacity at the time.
- No Microsoft 365 licence is required.
